How to Schedule Property Viewings in PropWise

TL;DR

You can schedule a property viewing in PropWise once the buyer marks a property as Interested. From there, you can either schedule directly from the property card for a quick setup or use the portfolio calendar for planning multiple tours efficiently.


When to use this

Consider this workflow when:

  • A buyer has shortlisted properties and wants to see them in person.
  • You’re coordinating availability and prefer everything tracked in one place.
  • You want viewings tied to specific properties rather than floating calendar notes.


Step-by-step instructions

Option 1: Schedule from the property (Best for single viewings)


  1. Open the relevant portfolio.
  2. Review properties and ensure the buyer has marked a property as Interested.
  • If not, you can ask them via the listings chat to confirm interest first.
  1. Open the property.
  2. Below the property description, click Schedule Viewing.
  3. Enter:
  • Date
  • Start time and end time
  • Any internal notes (optional)
  1. Save the viewing.

Result:

The viewing is now linked to the property and visible in the portfolio calendar.


Option 2: Schedule from the portfolio calendar (Best for multiple viewings)


  1. Open the portfolio.
  2. Go to the Calendar tab.
  3. Click the + (add event) button.
  4. Name the event (e.g., Apartment Viewing – Alfama).
  5. Select the property from the dropdown.
  6. Choose the date, time, and duration.
  7. Save the event.

Result:

The viewing appears in the portfolio calendar and is linked to the selected property.


Common issues & tips

  • Schedule button not visible

→ The property may not be marked as Interested. You can ask the buyer to update the status first.

  • Buyer hasn’t requested a tour yet

→ Use the portfolio chat to confirm availability before scheduling.

  • Multiple properties, same day

→ Use the calendar view to avoid overlaps and plan efficient tour routes.

  • Internal vs client visibility

→ Viewing details are part of the shared portfolio context, eliminating the need for separate emails.
