How to Reuse Listings Across Multiple Portfolios

TL;DR

Reuse existing listings instead of recreating them. Select properties you’ve already added to other portfolios and import them into a new portfolio with one click—saving time and keeping data consistent.


When to use this

  • You’re working with multiple buyers interested in similar properties
  • A buyer changes direction (e.g. from investment to residential)
  • You want to repurpose previously curated listings without re-entering data
  • You’re standardizing workflows across your team


Step-by-step instructions

Option 1 — Import From PropWise (Best for speed & consistency)

  1. Open the portfolio where you want to add properties.
  2. Click Import Listing.
  3. Select From PropWise.
  4. Choose listings you’ve already created in other portfolios.
  5. Click Import — the listings are added instantly.

What gets reused:

  • Property details
  • Photos
  • Uploaded documents

What stays clean:

  • Private notes
  • Client chats
  • Portfolio-specific context

Option 2 — Duplicate a Portfolio First (Best for near-identical buyers)

If the buyer profile is very similar:

  1. Duplicate an existing portfolio from the dashboard.
  2. Rename and adjust buyer details.
  3. Remove any listings that don’t apply.

This is faster when most listings stay the same, but it’s heavier than importing individual listings.


Common issues & tips

  • Missing listing?

Only listings you’ve created manually or imported previously in PropWise will appear here.

  • Data conflicts?

Imported listings do not overwrite existing portfolio data—each portfolio keeps its own context.

  • Best practice:

Treat listings as reusable assets, portfolios as buyer-specific workspaces.

  • Performance note:

Reusing listings is significantly faster than URL imports or manual entry, especially at scale.
