How to Restart a Stalled Buyer Search

TL;DR

If a buyer has become unresponsive, overwhelmed, or indecisive, the solution is not to "send more listings." We recommend restarting the search by resetting intent, refining constraints, and encouraging clear decisions within PropWise. This approach transforms confusion into progress and helps move deals forward.



When to use this

Consider this workflow when:

  • The buyer has stopped providing feedback
  • Numerous properties have been shared without decisions
  • The buyer expresses uncertainty
  • Viewings are repeatedly postponed
  • The search has continued without reaching a conclusion


If the buyer hasn’t clearly rejected or advanced a property in 2 - 3 weeks, the search may be stalled.



Step-by-step instructions


Option 1: Reset Buyer Intent (Best for unclear or drifting buyers)

This is a comprehensive reset. We recommend realigning the search with current realities rather than expectations.


  1. Open the buyer’s portfolio.
  2. Review the Buyer Description field.
  3. Rewrite it based on insights gained:
  • What have they consistently rejected?
  • What caused hesitation?
  • What trade-offs are they now willing to accept?
  1. Confirm the updated criteria with the buyer in chat.
  2. Remove or mark as Rejected any listings that no longer fit.


Why this works: Stalled searches often result from outdated assumptions. This resets the system to align with current truths.


Option 2: Force a Shortlist Decision (Best for overwhelmed buyers)

This introduces productive friction.


  1. Go to the portfolio and filter properties.
  2. Ask the buyer (in chat) to:
  • Mark max 3 properties as Interested
  • Mark everything else as Rejected
  1. Avoid adding new listings during this step.
  2. Focus only on the shortlisted properties for next actions (viewings, deeper analysis).


Why this works: Decision paralysis is reduced when options are limited. Three is an effective number.


Option 3: Re-anchor with a Viewing Trigger (Best for passive buyers)

This converts contemplation into action.


  1. Identify 1 - 2 properties that best fit current realities.
  2. Ask the buyer directly in chat:
  • “If we could see just one property this week, which one should it be?”
  1. Once confirmed:
  • Use Schedule Viewing on the property
  • Lock a date and time
  1. Pause all new property additions until after the viewing.


Why this works: Physical commitment helps break mental loops. Viewings quickly create clarity.


Option 4: Strategic Prune & Replace (Best for long-running searches)

This is a controlled renewal process.


  1. Remove or reject:
  • Old listings
  • Properties added “just in case”
  1. Add only 1 - 2 new listings that:
  • Address a previously stated objection
  • Represent a clear trade-off (price vs location, size vs condition)
  1. Request explicit feedback:
  • “Better, worse, or same as previous options?”


Why this works: Progress is driven by contrast, not volume.
