How to Invite and Manage Client Access in PropWise
TL;DR
To invite a client, you simply share the portfolio. PropWise automatically handles the invitation, access permissions, and ongoing access management - no manual user setup required. When to use this
Use this when you want to:
- Give a buyer access to their property portfolio
- Start client collaboration (comments, feedback, document review)
- Avoid manual user invites, passwords, or permission headaches
If you’ve created a portfolio, you’re already 99% done.
Step-by-step instructions
Share a portfolio (Best for all client access)
- Open the portfolio you want to share
- Click Share
- Confirm the client’s email address
- Send the invitation
That’s it. PropWise does the rest.
What happens automatically
Once you share the portfolio:
- Secure access is created automatically
- The client receives an link to portfolio via email invitation
- Next step for the client is to select their email that is half-hidden
- Security code is sent to them, when they copy it it they enter the portfolio
- The client sees only what they’re allowed to see
- No passwords, roles, or setup steps are required from you
- Access stays active as long as the portfolio is shared
This is intentional. Fewer controls = fewer mistakes.
What clients can and cannot see
Clients can:
- View all shared properties
- See property updates in real time
- Comment and give feedback
- View shared documents and AI summaries
Clients cannot:
- See your private notes
- See internal tags or agent-only context
- See seller or seller-agent details
- Modify listings or portfolio structure
This separation is hard-coded to protect your workflow.
Managing access (without managing access)
There is no separate “user management” screen for clients.
Access is controlled entirely by the portfolio state:
- Portfolio shared → client has access
- Portfolio unshared → no access
This design prevents:
- Orphaned users
- Accidental over-sharing
- Permission drift over time
Most tools over-engineer this. PropWise deliberately doesn’t.
Common issues & tips
- Wrong email used?
Add the client email and re-share.
- Client says they can’t see updates?
They need to refresh or re-open the portfolio. Updates sync automatically.
- Multiple buyers (spouse, advisor)?
Add them as additional buyers via the portfolio. Each gets their own access.
- Security concern:
Access is portfolio-scoped, not account-wide. One portfolio ≠ access to others.
