How to Handle Off-Market Properties in PropWise

TL;DR

Use PropWise to manually add, structure, and securely share off-market properties with buyers. This approach helps you maintain control over the narrative, protect relationships, and expedite high-trust deals without leaking sources, losing context, or creating disorganized workflows.

When to use this

Consider this workflow when dealing with properties that are not publicly listed, such as:

  • Private seller connections
  • Developer inventory not yet released
  • Word-of-mouth or investor deals
  • Quiet luxury or sensitive transactions

If the property isn’t available on a public portal or MLS, this is the appropriate method.

Step-by-step instructions

Option 1: Manual Property Creation (Best for true off-market deals)

  1. Navigate to your Portfolio.
  2. Select + Create Listing.
  3. Opt for Manual Entry.
  4. Input the core property details: approximate location, price or price range, property type and size, and a short, factual description.
  5. Upload available assets (only after the client signs an NDA): floor plans, photos or renders, PDFs or pitch decks (if permitted).
  6. Save the listing.

Result: The off-market property is now organized, comparable, and shareable like any other listing.

Option 2: Controlled Disclosure via Notes & Documents (Best for sensitive sources)

  1. Add the property using Manual Entry (as described above).
  2. Utilize Private Notes to document:
    • Seller identity
    • Source of the deal
    • Negotiation constraints
    • Internal risk flags
  1. Upload sensitive documents only if necessary.

Result: You maintain institutional memory without exposing leverage or relationships.

Option 3: Portfolio-First Teasing (Best for early validation)

  1. Add a light version of the property:
    • Approximate location
    • High-level description
    • “Off-market opportunity” label
  1. Share the portfolio with the buyer.
  2. Use buyer feedback to determine:
    • Whether to unlock full details
    • Whether to proceed at all

Result: You assess buyer intent before investing political or social capital.

Common issues & tips

  • Over-sharing too early

→ Keep seller identity and pricing flexibility in private notes until intent is confirmed.

  • Messy comparisons

→ Standardize descriptions so off-market properties are comparable to listed ones.

  • Forgetting context later

→ Always log why the property exists and how it was sourced. This will be beneficial in the future.

  • Performance note

→ Off-market listings are fully supported in PropWise, ensuring no feature loss or second-rate handling.

Strategic reality check

  • Off-market deals are trust assets, not inventory.
  • If they reside in WhatsApp, they don’t exist.
  • If they exist only in your mind, they may be mishandled.

PropWise encourages discipline: prioritize structure, exercise discretion, and maintain speed.
